On behalf of the staff and management, we appreciate you choosing the Best Western Waterbury-Stowe for your team’s accommodations. Per your request, I have set aside 20 non-smoking rooms with two double beds, at the rate of $175.00. We have you arriving on Thursday August 30th 2018 and departing on Sunday, September 2nd 2018. Rates are per room, per night and are subject to 9% VT room’s tax. Rates are based on Triple occupancy. An additional $10 per adult would be added for quadruple occupancy, and 10 dollars less for single and double occupancy. In order to qualify for this rate, your group must reach at least 5 rooms. If you do not reach 5 rooms, the rate will increase to the daily rate at that time.

Each individual will need to call our hotel directly and ask for reservations at 802-244-7822 or 1-800- 621-7822 and book under the Belleville Bearcats Block to secure their reservation with a valid credit card. They could also book on line using the following link:

All rooms that are not booked by July 19th 2018 will be released and the block rate will no longer be available. Due to this fact, we strongly suggest sending out a “Save the Date” card to your guests, instructing them to book before the release date.

Check in time is after 3:00 PM, check out time is 12:00 Noon. To avoid credit card charges, guests must cancel reservations at least 72 hours prior to the scheduled day of arrival. A complimentary “Deluxe Continental Breakfast” is included with each room reservation. Breakfast is served in our restaurant from 6:00 AM – 10:00 AM daily.

There are a variety of activities available within the hotel that includes: full use of our year-round activity center which features an indoor swimming pool and hot tub, an exercise room for adults over 18 years of age, locker room facilities, a game room, a large living room area and a swing set for the children.

Dear Youth Sports Parents:

Greetings from the Best Western Plus, Waterbury-Stowe. We hope you have a great stay! So that ALL guests enjoy their stay at the hotel, we have compiled the following information and guidelines.

• 􏰀  Deluxe Continental Breakfast is available from 6:00 AM to 10:00 AM.

• 􏰀  Pool hours are from 5:30 AM – 10:00 PM. One parent for every 6 children must be present in

  the pool area while in use by your group. Children under 16 are not permitted in the pool area

  without adult supervision.

• 􏰀  Fitness center hours are from 5:30 AM – 10:00 PM. Children under 18 are not permitted

  in the fitness center for any reason.

• 􏰀  We do not allow glass containers in the pool area. Plastic and aluminum is ok.

• 􏰀  To prevent damage to hotel rooms, we ask that hockey sticks and skates be left locked in your vehicles.

• 􏰀  Groups may consort in the lobby area until 10:00 PM as long as they obey the hotel rules and practice common courtesy for other hotel guests.

• 􏰀  HALL HOCKEY/SPORTS IS ABSOULTELY NOT PERMITTED IN ANY PUBLIC SPACE.

• 􏰀  For safety and security reasons, we require at least one adult per room. Children under the age

  of 18 may not be left unattended at the hotel.

• 􏰀  Check out time must be observed. If you have not checked out and we cannot reach you, we

  reserve the right to move and secure your belongings. You will be charged for a half day.

  Youth Sports is an exciting time and a great experience. We realize team spirits may be running high during your stay. We ask that your team respect other hotel guests and the property of the hotel. We want you all to enjoy your stay and visit us again the next time you are in the area.

LIABILITY / SECURITY:

The hotel cannot be responsible for the safekeeping of equipment, displays, supplies, written materials or other valuable items left in guest rooms, meeting rooms, conference areas or public spaces. Accordingly, the client will be responsible to provide security for such materials and herby, assume responsibility for any loss or damage. For your convenience, Safety Deposit Boxes are available at the Front Desk.

PARKING:

On site parking is available at $12.50 per day. Please advise if your group will be arriving by Coach Bus so that we may make necessary parking arrangements.

CANCELLATION/ ATTRITION:

Should your Organization have to cancel the entire group block and any reservations associated with this event that would result in the Hotel’s loss of revenue the following cancellation policy will occur:

• 90 or more days prior to arrival, 25% of anticipated guestrooms will be charged accordingly

• 60-90 days prior to arrival, 50% of anticipated guestrooms will be charged accordingly

• 30-60 days prior to arrival, 75% of anticipated guestrooms will be charged accordingly

• 30 days or less, prior to arrival, 100% of anticipated guestrooms will be charged accordingly

  Individual cancellations must be made 48hrs prior to time of expected arrival to avoid penalty. Please advise all of your guests of our cancellation policy.

  EARLY CHECK OUT FEE:

  Any guests who decide to check out of the hotel earlier than the original agreed upon room block dates for groups that “Lose and Leave” will be subject to a $80.00 per suite Early Check Out fee that will be billed to each guests’ folio.

  PAYMENT:

  Each group will advise our sales department of preferred method of payment for their specific group block.

Should the individuals wish to, change their length of stay, date of arrival or departure, they must contact the hotel’s Sales Department. Changes to any/all reservations will be at hotel’s discretion.

Reservation for the aforementioned room block may be made on individual basis or by rooming list – please advise our Sales Department of your preferred reservation method along with a signed agreement.
